Updating Air and Hotel Custom Locations

You can create Custom Locations so a company can use co-terminals (air travel) or area locators (hotel stay) for their users to search by. Each Custom Location created is available to users on the Air Home, Hotel Home, and Interactive Map screens.

This article will show you, a Certify Travel Administrator, how to work in the Custom Locations page.

Please Note: First select a SYSOPADMIN in the company you are going to Edit. This ensures you are editing and testing policy of the selected company.

Adding a New Custom Location

Step 1: On the Certify Travel homepage, select the Admin menu. Then select Policy Setup, followed by Custom Locations.

Step 2: From the Custom Locations list screen, select Add New Custom Location.

Step 3: The Custom Locations screen opens. Use the fields to create the new Custom Location.

  • Custom Location Name: The name for the Custom Location. This name is displayed to end users and should be kept as short and clear as possible.
  • Include for Air Search: Checkmark this box to make this custom location available for air availability searches
  • Include for Hotel Search: Checkmark this box to make this custom location available for hotel searches.
  • Airports: When using Custom LocationsCertify Travel processes flight availability by replacing GDS defined co-terminal airports entered here. Certify Travel then searches availability for Best TimeLowest Fares, and Air Contracts for each of the airport codes entered below.
  • Main Airport References: The airport code for the primary airport used for this custom location. Note: City codes are not recognized by the system.
  • Use alternate airports for Custom Location Search Only: Mark this checkbox if you want Certify Travel to use alternate airports ONLY when the user searches using the custom location. Leave unmarked if you want Certify Travel to use alternate airports when the user searches by custom location or by the primary airport code.
  • Alternate Airport #1: Enter the airport code for the first alternate airport (if the custom location is in a city with more than one airport).
  • Alternate Airport #2: Enter the second alternate airport code (if the custom location is in a city with more than one airport).
  • Interactive Map: The Interactive Map is accessed from the Air Home screen. To find the quadrants for a custom location, place your mouse over the location on the map. The quadrants appear in the right side of the margin below the map. Example: For Dallas they are X=325 Y=300.
  • Map Quadrant Y: Enter the Y quadrant on the interactive map
  • Map Zone: The area of the world in which the custom location is located (North America, South America, Central America, Middle East, Asia, Australia, or Africa).
  • Label Position - Address Information (used for Hotel Search): For hotel processing, room availability is searched based on the address provided in the Custom Location. If an address is not provided, the search is based off the main airport code entered in the Custom Location area.
  • Reference Address: The street address of the hotel.
  • City: The city in which the hotel is located.
  • State/Province: The state or province where the hotel is located.
  • Zip/Postal Code: The zip or postal code of the hotel.
  • Country: The country in which the hotel is located.
  • Latitude/Longitude: When you click Save, the Latitude/Longitude fields are automatically populated based on the address entered above. To override the Latitude/Longitude, by manually enter your own coordinates here.

Step 3: Click Save to retain your changes.

You are returned to the Custom Locations screen, where the new Custom Location has been added to the list.

Attaching a Custom Location to a Policy Tree Branch

To make a Custom Location active for a policy branch, the Include Custom Location rule must be attached with the Custom Location as the Value.

Step 1: From your Certify Travel homepage, select the Admin menu. Then, select Policy Tree followed by Policy Tree Editor.

Step 2: The Policy Tree Editor opens. Click Edit next to the Branch to which to attach the Reporting Condition.

Step 3: On the Edit Policy Tree Branch screen, click Add New Rule.

Step 4: In the for keywords field, enter keywords and then click Next.

Step 5: Select the Reporting Condition you created earlier, and then select Next.

Step 6: From the Policy Rule Values screen, select the Value and then click Save.

Step 7: Click Compile.

Excluding a Custom Location from a Policy Tree Branch

To exclude a Custom Location, the process is almost identical to Attaching a Custom Location, except the Exclude Custom Location rule must be attached with the location, instead.

Step 1: Go to the Polity Tree Editor page.

Step 2: The Policy Tree Editor opens. Click Edit next to the Branch to which to attach the Reporting Condition to exclude.

Step 3: On the Edit Policy Tree Branch screen, click Add New Rule.

Step 4: In the for keywords field, enter keywords and then click Next.

Step 5: Select the Reporting Condition you created earlier, and then select Next.

Step 6: From the Policy Rule Values screen, select the Value and then click Save.

Editing an Existing Custom Location

Step 1: In the Custom Locations list section, click the pencil icon next to the Custom Location Name in the list that requires the update.

Step 2: The Custom Location screen opens for the existing location. Use the fields provided to make edits.

Deleting a Custom Location

Once a Custom Location is attached to a policy tree branch or rule group, the rule (including the custom location) must first be detached from the Policy Tree Branch.

To delete a custom location, select Delete for that location. A prompt displays asking you to OK, or Cancel the request.

  • If Cancel is selected, the custom location list re-displays with the location in place.
  • If OK is selected, the custom location list redisplays with the location removed.

User Impact

When configured, users can select a Custom Location from their Air Home or Hotel Home search screens.

  • Air Custom Location searches are limited to the round trip and one-way Air Home screens (due to space limitations).
  • Multiple city Custom Location searches must be initiated from the Interactive Map screen.
  • For Hotel Custom Locations, the checkbox to Include for Hotel Search checkbox must be marked on the Custom Location policy screen.

Custom Location for Air Search

Flight availability is processed based on the airports contained in the Custom Location and is achieved by replacing GDS defined co-terminal airports with manually entered locations. When established, Certify Travel searches availability for Best Time, Lowest Fares, and Air Contracts for each of the airport codes defined within Custom Location.

If you have activated Custom Locations for air searches, a Search by Location link becomes available to users on the Air Home screen next to the From and To fields.

When the user selects Search by Location, the From or To field changes to a dropdown list containing the custom locations included on the traveler's Policy Tree branch. The Search by Location link converts to Search by Airport, which enables the user to return to the original search option.

Custom Location for Hotel Search

For hotel processing, room availability is searched based on the address provided in the Custom Location. If an address is not provided, the search is based off the main airport code for the Custom Location area.

On the Hotel tab, if you have activated Custom Locations, a Company Location link appears above the Airport text box on user's screens.

If a user clicks a Company Location, the Airport field changes to a Custom Location field, and a dropdown list of the Custom Locations (from the traveler's policy tree branch) is available using the little arrow.

The Search by Location link converts to a Search by Airport, which enables the user to return to the original search option.

Interactive Map

When a user selects Custom Location for a hotel search, the latitude and longitude from the custom location are used to place a pin on the hotel map to indicate the location.

Please Note: If the office location is not where it should be on the map, verify that the correct latitude and longitude are saved in the Company Location page.
