Prohibit Air Ticketing Within Hours of Travel
We are excited to announce a new feature that allows you to prohibit booking air travel within a specified number of hours before departure. This enhancement gives you more control over your travel policies and helps prevent last-minute bookings. This functionality is similar to the existing setting that prohibits booking near the last date to purchase, providing greater flexibility in managing travel policies.
Trip Authorization
To utilize this new feature, follow these steps:
- Access Admin > Trip Authorization > Trip Authorization Policy.
- Select the Trip Authorization policy you wish to edit.
- Click on the AIR tab.
- Scroll down to ‘Air booked less than ____ hours prior to departure’.
- Fill out the information for # of hours and the type of Policy Control, and then Save.
Policy Controls are: 'Do Not Apply,' 'Warn,' and 'Prohibit'.
Warn provides an onscreen message to the user but they may continue with the reservation. Prohibit will not allow the user to continue with the reservation.
Below is an example of a ‘Warn’ setup:
Reporting Condition
To utilize the new feature within Reporting Conditions, follow these steps:
- Access Admin > Policy Setup > Reporting Conditions.
- Click on + Add New.
- Fill out the Reporting Condition information (Example below).
- Click Save.
Attach your Reporting Condition to your policy via the Policy Tree Editor.
- Access Admin > Policy Tree > Policy Tree Editor.
- Select the policy you wish to Edit.
- Select Add New Rule.
- Use reporting in keywords for Search for Policy Rules.
- Include Reporting Conditions.
- Select the # of hours prior to purchase in the Value drop-down box and Save.
- Compile your policy.

Tax (VAT/GST) Breakout on Receipts and Cost Summaries for Air/Rail Bookings
Canadian businesses require tax (VAT/GST) breakout on their receipts for legal compliance. Previously, this information was not included in the auto-populated receipts.
We have updated our system to include tax breakouts in auto-populated receipts, specifically addressing the needs of Canadian businesses and ensuring legal compliance.
New Features:
- Tax summary display on Cost Summary for Booked Air and Rail
- Hover over the tax amount to see a detailed breakdown
- Improved tax parsing for:
- Booked & Ticketed Air:
- Sabre - Edifact & NDC
- Apollo - Edifact & NDC
- Galileo - Edifact & NDC
- Amadeus - Edifact
- Booked & Ticketed Air:
- Itinerary Email updates:
- Taxes are now displayed separately from Additional Charges
- Expense Receipt Image enhancements:
- Taxes now included
- New tax code to tax category mapping (pending approval)
- Expense Receipts now include tax information
- New Policy Rules to Control Tax Display:
- Air: Include taxes with airfare
- Rail: Include taxes with rail fare
These rules allow turning on/off tax display in:
- Cost Summaries (Example below)
- Emails (Example below)
- Receipts (Example below)
Note: The tax breakdown will not be displayed until the trip has been reserved/purchased.

Update Shopping Tab Order on Air Home
We've optimized the order of our shopping tabs to align with typical client booking patterns:
- AIR
- HOTEL
- CAR
- RAIL
This update is designed to enhance efficiency in the booking process. The new order reflects business and leisure travelers' most standard booking priorities.
Placing AIR first acknowledges that flight bookings often drive subsequent travel decisions. HOTEL follows as the next critical element in most itineraries. CAR rentals are positioned third to address ground transportation needs, while RAIL options complete the set for comprehensive travel planning.
Update Hotel Ratings to Stars
We've transitioned from crown icons to star icons for hotel ratings.
Fundamental changes and benefits:
- Aligns with globally recognized hotel classification systems
- Improves clarity and intuitive understanding for clients
- Underlying quality assessments remain unchanged
- Example: A 4-crown hotel is now represented as a 4-star hotel
